    The Problem Nobody Talks About

Most invoicing guides focus on creating and sending invoices. But the uncomfortable truth is that sending an invoice is only half the work. The other half - following up when clients don't pay - is where most small business owners lose time, energy, and sometimes money they're rightfully owed.

Chasing a late payment is awkward. You don't want to come across as aggressive. You're busy. You forget. And before you know it, an invoice that was 7 days overdue is now 45 days overdue, and the trail has gone cold.

BGinvo's overdue invoice notification system was built to fix this. Here's exactly how it works.

Plan note: Automatic client reminders and the owner digest are Premium features. On the Free plan, invoices are still marked overdue automatically and you can send a reminder yourself from any overdue invoice.

    The Full Automated Pipeline

BGinvo runs two scheduled jobs every day. Together they form a complete overdue invoice management system that requires zero ongoing effort from you.

    6:30 AM - Detection

Every morning at 6:30 AM, BGinvo scans all your active invoices. Any invoice with a pending or sent status where the due date has already passed is automatically transitioned to overdue.

This is a bulk operation - hundreds of invoices can be processed in seconds. The following are always excluded:

    • Archived invoices (treated as resolved)
    • Paid, draft, void, and cancelled invoices
    • Invoices with no due date set

The result: by the time you sit down at your desk, your invoice list already reflects reality. Overdue invoices are clearly flagged, and you don't need to manually identify them.

8:00 AM - Staged Client Reminders

Thirty minutes later, the reminder engine fires. BGinvo evaluates every overdue invoice and determines whether a client email is due, based on a two-stage schedule:

    Stage 1 - 1 day overdue

A friendly, professionally written email to your client. It assumes the oversight was unintentional - because most of the time, it is. This one resolves the majority of late payments on its own.

    Stage 2 - 7 days overdue

A follow-up second notice, sent at least 6 days after Stage 1. The tone is slightly firmer. It acknowledges that the first reminder has already been sent and the payment remains outstanding. After this, BGinvo stops sending automated emails. At this point, personal follow-up, a phone call, or escalation is recommended.

Each email includes the original invoice attached as a PDF. Your client always has the document in hand - there's no excuse of 'I never received it.'

BGinvo is deliberate about spacing. It will not send more than one reminder per stage per invoice, and it respects the minimum waiting periods between stages. Clients receive appropriate pressure without being spammed.

    Owner Digest to You

Separately from the client emails, BGinvo sends you a summary at your registered email address, as often as you choose: daily, weekly, biweekly or monthly. This digest lists every currently overdue invoice - client name, invoice number, days overdue, and outstanding amount.

It's designed to be read in under a minute. You know your cash flow position before the workday starts, without having to log in to a dashboard.

The Owner Toggle: You Stay in Control

BGinvo doesn't make assumptions about your client relationships. Sometimes you're already in conversation with a client about a late payment. Sometimes you have a special arrangement. Sometimes you'd simply prefer to handle communication yourself.

That's why there's a single toggle in Settings → Reminders: Automatic Reminders.

When turned on (the default): BGinvo sends client reminders on the schedule above, plus your daily digest.

When turned off: Client emails stop completely. Your daily digest continues - you stay informed, but BGinvo doesn't contact your clients on your behalf.

You can also manually trigger a reminder for any specific invoice from the Reminders tab in your dashboard, regardless of the automatic setting.

    Why the Two-Stage Schedule Works

The structure of BGinvo's reminders is based on widely accepted payment follow-up practice:

    • Most late payments resolve at Stage 1 or 2. A simple reminder is all that's needed - the client genuinely forgot or it slipped through their accounts payable.
    • A brief, friendly follow-up respects the client relationship. Two polite nudges keep the outstanding balance visible without souring the relationship.
    • Spacing prevents harassment. BGinvo's minimum interval between the two stages ensures clients aren't receiving emails every other day. The schedule is firm but respectful.
    • Capping at two prevents diminishing returns. Beyond the second reminder, automated email is unlikely to produce payment. Manual escalation is more appropriate at that point.

What This Means for Your Business

The numbers on late invoice follow-up are striking. Research consistently shows that invoices followed up within 48 hours of becoming overdue are paid significantly faster than those where follow-up is delayed. The majority of freelancers and small business owners admit to letting at least some overdue invoices go unfollowed simply because the task feels awkward or they ran out of time.

BGinvo removes both obstacles. There's no awkwardness - the emails are written professionally and sent automatically. There's no time required - the whole process happens before you start your morning coffee.

Every invoice gets the same consistent, professional follow-up process, whether you have 1 overdue invoice or 40.

    Getting Started

The overdue notification system is active by default for all BGinvo Premium accounts. There's nothing to configure to enable it. On the Free plan, upgrade to Premium to turn it on.

To check your current settings or adjust the toggle:

    1. Log into your BGinvo dashboard
    2. Go to Settings → Reminders
    3. Review the Automatic Reminders switch and adjust if needed

That's it. BGinvo handles the rest every morning, automatically.
